About "Cisco Meeting"

"Cisco Meeting" is a service from DESY-IT for telephone, web and video conferences. With this software, you can create meeting rooms to communicate and exchange information, both with DESY employees and with people who do not belong to DESY. "Cisco Meeting" is suitable for project-related or person-related use over a certain or also an undefined period of time.

Installation of the "Cisco Meeting" software

The Cisco Meeting software can be installed on DESY Windows computers as usual via DSM/NetInstall (Windows Start-->DSM-->Installer&Uninstaller).

If this is not possible, there are the following alternative uses:

Web access to "Cisco Meeting"

Web access is limited to the following browsers:

  • Firefox
  • Google Chrome
  • Microsoft Edge
  • Apple Safari

Cisco Meeting App for Apple Devices

Important: Open the app with a right click the first time after downloading. Then click Open. Otherwise, Apple will not allow you to use it.

DESY-User-Access to Cisco Meeting

"Anmelden"/"Sign in"

All DESY employees can log in as follows via the  "Anmelden"/"Sign in" button (Figure 1) (an additional account is not necessary):

Username: user-id@desy.de  (user-id = DESY username)

Password: DESY Password (Windows- / Kerberos-Password)

 

 

 

 

DESY-Guest-Access to Cisco Meeting

"An Konferenz teilnehmen"/"Join Meeting"

As a DESY guest, you have received an invitation to a Cisco meeting with corresponding access data. You can optionally use a video system.

Case 1: Access via the Cisco Meeting App. You have received a conference link in an email and perhaps a passcode.

  • Click on the "An Konferenz teilnehmen"/"Join Meeting" button. (Figure 2) Insert the conference link and the passcode if necessary.
  • If you have not received a passcode, you can leave the corresponding field empty
  • Give yourself a name. Click on the  "An Konferenz teilnehmen"/"Join Meeting" - button
  • Check the camera, microphone and speaker settings. Optionally select "Use video system" from the upper drop-down menu
  • By clicking the "An Konferenz teilnehmen"/"Join Meeting" - button again, you will be directed to the corresponding meeting room

Case 2: Access via https://meet.desy.de/ You have received a conference link or a conference ID and perhaps also a passcode.

  • Either click directly on the conference link or go to https://meet.desy.de/, click on the "An Konferenz teilnehmen"/"Join Meeting" button (Figure 2) and enter the conference ID and passcode if necessary. Click again on the "An Konferenz teilnehmen"/"Join Meeting" button
  • If you have not received a passcode, you can leave the corresponding field empty
  • Give yourself a name. Click again on the "An Konferenz teilnehmen"/"Join Meeting" button
  • Check the camera, microphone and speaker settings. Optionally select "Use video system" from the upper drop-down menu
  • By clicking the "An Konferenz teilnehmen"/"Join Meeting" button again, you will be directed to the corresponding meeting room


 

 

DESY-Phone-Access to Cisco Meeting

  • Dial the DESY extension +49 40 8998 6060
  • Enter the conference ID, followed by the hash key (#)



 

Create meeting room

You can create a new meeting room by clicking on Meet(Treffen) (Figure 3) in the upper left corner and then on Create space(Raum erstellen). (Figure 4)

You can create any number of rooms. After you have assigned a name and created the room, it appears in the left sidebar.

 

Edit/delete spaces

If you click on the pencil symbol (Figure 5), you can adjust the following settings:

  • Change room name
  • Delete Space
  • Manage guest access, see section "Allow guests
  • Set up a passcode for guest access
  • Adjust the video address

 

Then click "Save" for your adjustments to take effect.

Allow guests

With the pencil symbol next to the room name (Figure 5), you can activate or deactivate guest access.

Guest access not activated:

  • Guests cannot be invited. The corresponding button is not available in this setting.
  • Only people who are members of this room (i.e. who were entered via Add member) can dial in. These can only be DESY account holders who have to log in for this purpose.
  • It is not possible to dial in via a web link or telephone dial-in.

 

Guest access enabled:

  • Guests can be invited. The invite button can be used to retrieve and send dial-in information, especially a web link and the phone details.
  • People can participate in the meeting without having an account and/or without having to log in.

 

❗Attention: Changing guest access has a direct impact on the conference participation of guests. By deactivating guest access, they are immediately "thrown out" of the conference and do not receive any "justifying" information.
 

Functions during an current conference

Cisco Meeting App provides some functions during an active session that are accessible via a toolbar on the right side of the screen. (Figure 6)

  2. If you are authorized, you can add participants here
  3. You can mute the other participants here
  4. You can call up the chat function here
  5. Here you can select within a limited range what you see on your screen (lay-outs)
  6. Here you will receive various information about the current meeting
  7. Here you can switch between the microphones and cameras to be used (camera icon)
