Use of DESY IT Services After Departure

You are leaving DESY because, for example, your employment contract or business relationship with DESY, e.g., as part of projects, etc., is ending.

What happens normally (from an IT perspective)?

  • Your DESY user account will expire at the time defined by your administrator.
  • As a result, access to central IT services and your data will no longer be possible.
  • After 180 days, your data will be deleted, and your account will be archived.

How could I continue using IT services?

If you need continued access to your account for a limited time after formally leaving, the following, combinable options are available in agreement with your manager:

  • Grace period
  • Conversion of your account to an "Alumni Account" for an Alumni period
  • Setting up an email out-of-office message
  • Possibly setting up an email forward (option currently being clarified due to data protection concerns)

Below are explanations for these options.

Grace Period

The Grace period defines a limited time in which you can continue using your existing account beyond the regular expiration date, if necessary.

  • During the Grace period, you can continue accessing IT services as usual.
  • A manager (e.g., group/project leader) must approve the Grace period.
  • After the Grace period ends, your DESY account will expire as described above unless the account is converted into an Alumni account (see below).

Alumni Account / Alumni Period

The Alumni period defines a limited time in which you can continue using your account beyond the regular expiration of your account and/or the Grace period, with certain limitations.

After Grace and/or Alumni Period: Email Out-of-Office Message

For the time after the Grace and/or Alumni period, you can use out-of-office message for your emails via https://mail.desy.de.
Be sure to set this up in advance before the expiration of your account or Grace/Alumni period.

Email Forwarding

Email forwarding to other email addresses is generally not desired due to data protection reasons. It can still be set up in justified exceptions. The possibility of email forwarding is currently being clarified with the IT data protection and security group (D4) and the DESY Directorate.
