Temporarily public Confluence content

On February 15, 2024, the manufacturer support for the wiki service "Confluence" used at DESY will end, and the manufacturer will no longer remedy errors or security gaps from this date. However, since serious security vulnerabilities are regularly discovered in the Confluence software and exploited by attackers, the accessibility of the service will be limited to the DESY intranet from February 15, 2024. After this date, it will no longer be possible to access the service from the internet.

This measure aims to reduce the vulnerability of the service to potential attacks and thus increase security.

However, Confluence is used by various parties at DESY to make information available worldwide without access restrictions. As the new wiki service XWiki is not yet productively available, DESY-IT offers an interim solution to make Confluence-based information accessible worldwide. The procedure for this is described below.

Process / Workflow

  1. Export the entire space or individual pages as a Space Administrator in HTML format according to the Atlassian guide:

    -> Scroll down until „Export multiple pages to HTML or PDF”
    - Note: For the publication of the content, only the pages from the export are considered that were already previously available publicly via Internet and without login to Confluence. Pages that require a login and are included in the export will NOT be considered for publication.
    - Note: The fewer pages you export, the faster the export will finish and the less time-consuming it will be to process the pages for publication. So, if you already know that certain pages (e.g. meeting notes or similar) should not be publicly accessible, exclude them from the export already at this stage.
  2. Please save the generated, now downloadable zip file in the mentioned Sync & Share folder. IMPORTANT: Please only upload a zip file; DO NOT attempt to upload a folder! If your operating system (e.g., MacOS) automatically unpacks the zip file during download, please create a new zip file from that folder and upload it afterwards.

  3. Then send an email to uco@desy.de with the file name and the request to make the content publicly available worldwide.
  4. You will receive feedback from the UCO as soon as provisioning has been completed.
     

If there are urgent changes to the content, please repeat the process. Due to the relatively high effort involved in publishing the data, please only request republication for really important changes.

 

Remarks

  • The exported pages can be accessed from the Internet at the old web address
  • Technically, a distinction is made between access from the Internet and the intranet
  • The appearance / layout of the web pages is provided "as is".
  • From 15.02.2024, it will only be possible to edit the Confluence pages from the DESY intranet. As soon as the new wiki service XWiki is available and your space has been migrated, it will be possible to edit content from the internet again in the future.
     

Please note the following for the time after the migration of your Confluence space to XWiki:

  • The Confluence space will only be read-only, also from the intranet.
  • The content for the above-mentioned externally readable interim solution for your Space will be removed.
  • Read-only access to XWiki from the Internet also requires authentication via federated login. Information on the federated login procedure can be found here.
  • Please use the DESY Content Management System (ZMS) for content that must be made accessible worldwide in read-only and anonymous form. Information on requesting websites can be found here if required.
