General information about email at DESY

On this page you will find general information about the use of emails at DESY, but also tips for everyday use.
 

DESY email address / mailbox

As a standard, you will automatically receive an electronic mailbox on the central e-mail system at DESY (mail.desy.de) with your user account at DESY in Hamburg or Zeuthen. An email system (at DESY mail.desy.de) usually manages the emails of a large number of accounts, each of which has its own mailbox on the system.

You can use your DESY e-mail addresses for sending and receiving e-mails. Different domains are supported at DESY.

DESY Domain: The official DESY domain is desy.de. Therefore, most addresses at DESY follow the following schemes:

firstname.lastname@desy.de
task-area@desy.de
event@desy.de


Other domains at DESY: In addition to desy.de, there are other domains that are supported by DESY-IT. These can therefore also be used in email addresses.

@cfel.de
@xfel.eu
@cssb-hamburg.de
@pier-hamburg.de

 

⤷ DESY mailbox

Your (email) mailbox, also called inbox, is the physical location where all your incoming and outgoing email correspondences are stored, unless they are actively deleted, redirected or stored locally.

The designations of the mailboxes at DESY follow the scheme:

accountname@mail.desy.de

 

Restrictions for Sending

The number of e-mails being sent is limited. If you plan to send more than 150 e-mails per 15 minutes, please contact uco@desy.de in advance and calculate at least four hours during normal office hours, before new settings will have been made, into your time budget.

 
Please note that from May 9th 2023 onwards, only e-mails whose sending address have a registered e-mail domain will be accepted and relayed. Please make sure to only submit e-mails that comply with this requirement, especially e-mails that are sent automatically, e.g. by cron jobs.
 
Examples for valid sender addresses are:
  • example1@desy.de
  • example2@xfel.eu
  • example3@mail.desy.de

Examples for sender addresses which will not be accepted are:
  • root@localhost.desy.de
  • example1@pcx12345.localdomain
  • example2@non-existent-domain.de
 

Sending attachments

Mails are used for communication, correspondence and partially also to share files. Though the latter is not recommended, because it may slow down a possibly necessary synchronization process. Sending email attachments should therefore not be the primary method to share files with colleagues, especially if they are quite big.

In order to exchange data without attaching them to e-mails, the data storage service DESY Sync & Share should preferably be used. For more information on how to use the service, please visit the following website:

As an alternative to using DESY Sync & Share, storage on network file systems such as AFS or Windows network drives is also possible. In individual cases, it must be checked which service is better suited for this. Basically, this also depends on the working methods of the persons involved. Restrictions on sending e-mail


Please note that the sending of e-mails is restricted. This includes e-mails with suspected harmful content as well as e-mails sent in large numbers. Lease find more details on this page.
